JOB SPECIFICATIONS
  • Education Higher Education (preferable)
  • Worked in similar roles in the shipping industry
  • Shipping knowledge and understanding of industry terminology and a sound understanding of the cargo cycle flow.
  • A minimum of 5 years of continuous employment and no more than 2 employers within that period
  • Experience working in a team environment
  • Microsoft Excel — Intermediate level (absolute minimum).
  • English proficiency in written and oral: Fluent.
  • Time management: Must have previous experience in working in time critical functions.

SUMMARY

The OPS Transhipment Officer (OTO) is responsible for processing adequate equipment details to vendors, operating partners and local authorities to ensure a smooth loading and discharging of the equipment from the vessels. In order to coordinate such information, the OTO must coordinate between partners, local authorities, vendors and all XXXXX Group offices. It's the OTO's responsibility to take care of the administration of the relay of our deep sea and Intra Asia volumes.
KEY DUTIES
  • · Timely and accurate response in correct language to queries.
  • · Taking ownership of issues/decisions, act pro-actively to solve issues and follow up on those. In need of escalation, provide full overview of situation and actions taken to Supervisor or appointed employee during his/her leave.
  • · Communicate in timely manner with other departments, partners, vendors & local authorities if required and necessary.
  • · Ensure that the data flow is running smoothly between respective departments: Agencies, Cargo Flow, HO departments, local PS teams, other Group centres
  • · Timely and accurate data entry of the vessel load list with involved bookings, hazardous details and other vessel Port Operations related handlings.
  • · Timely and accurate data entry of hazardous and reefer items, for internal and external use.
  • · Timely and accurate reporting of Veterinary cargo and making sure it sails timely
  • · Make sure all inter-terminals transfers are requested timely, follow up the completion
  • · Monitor feeder and deep-sea vessel schedules for accurate timeliness of loading/discharging data
  • · Full ability to use IMDG Code to access DGD correctness.
  • · Timely performance of vessel closure to ensure next port is aware of incoming cargo status
  • · Ensure necessary departments and offices are aware if cargo delays
  • · Ensure timely completion of assigned reports
  • · Regularly and actively inform the Supervisor about vessel operation and daily matters.
  • First contact point to relay on are the team members and the Supervisor In case of additional information is required or highlight needed. contact local Agencies or Head Office
  • Maintain necessary logs and KPI reports.
  • Provide training and mentoring to (new) Team Members
  • Highlight all deviations from SOP and user guides to Senior members, make sure cut-off document is followed
