Job DescriptionPMO Analyst - Intake and Estimation Lead (Japan) Job Description:
  • Drive and be accountable for the run and execution of the project intake and estimation process within JP PMO
  • Project Intake:
    • Lead and support the coordination and consolidation of project intake across the overall JP portfolio of work
    • Work with Portfolio managers to assemble and collate the annual portfolio of projects and ad-hoc project ideas that are raised for intake
    • Support the communication of project intake processes and activities within JP stakeholders and help to resolve questions on the intake process
    • Intake deliverables support (including, but not limited to reporting support, meeting material prep, assist with ad-hoc document translation etc)
  • Project Estimation:
    • Lead and drive the project estimation process within IS teams and supporting members
    • Support validation of estimation information as part of ODF input
    • Continuous improvement of estimation process and template to enable effective and accurate estimation output
  • Ensure the completeness and integrity of project data
  • Ensure alignment of processes with the PMO tools that support them
  • Support the use and compliance of Portfolio & Project Management (PPM) tools:
  • Balancing time and priorities across a large and diverse team
Required skills and competencies:
  • Japanese Speaking/Writing is a must - Bilingual Support for the PMO run and maintenance and support for PMs/SMs for execution activities in large scale programs
  • 3 to 4 years in related project delivery practice and process improvement position.
  • Analytics: Outstanding analytical skills are required to bring together large volumes of information and highlight the key themes and make recommendations for a senior executive audience.
  • Change agent - positively engages with and supports, advocates, communicates and implements change.
  • Collaborative: Role models a supportive and empathetic approach to working together. Seeks to understand others contrasting perspectives in order to overcome resistance and find common ground.
  • Works through formal and informal channels to achieve outcomes.
  • Supportive: guiding and coaching project delivery teams and sponsors to implement project/program outcomes, building an environment of confidence and trust
  • Experience with an Agile way of work and how it relates to a PMO, portfolio and governance.
  • Familiarity with project portfolio management (PPM) tools ideal. Planview, PowerBI, SharePoint O365 and other applications technical knowledge desirable. Experiences in application management training and support.
