Position Description:

CGI is seeking an Office Coordinator/Receptionist in our Rancho Cordova office in California to support a busy service desk site. You will be instrumental in helping the CGI team deliver exceptional quality service to our clients. Your attention to detail and positive attitude will be highly valued in this support position.

Your future duties and responsibilities:

Front Desk Duties
o Welcome visitors and agents entering the office
o All visitors and traveling members without a CGI member badge are required to sign in and check out a badge at the reception desk
o Ensure all visitors are signed in and badges assigned
o Maintain inventory of Temporary and Guest Badges
o Ensure visitors reserve office/desk space through Door James.
o Responsible for booking conference rooms and coordinate with visitor sponsors.
o Maintain a safe and clean reception area by complying with procedures, rules and regulations
o Replenish office snacks, beverages and supplies
o Answer telephone, screen and direct incoming calls where applicable
o Main office line is covered 8am - 5 pm daily (Monday thru Friday)
o Provide callers information, take and deliver phone messages
o In case of Emergency, call 911
Deliveries and out-going shipments
o Receive and sign for required FedEx and UPS deliveries. Notify recipient of delivery. If possible, delivery package.
o Prepare FedEx outgoing mailings (which may include packaging, requesting a pickup, filling out a shipping invoice etc.)
Documentation
o Maintain ongoing forms for office sign in/out access badges FedEx and other deliveries/shipments
o Manage facility logs
o Other duties as assigned and/or needed
Administrative Duties
o Provide confidential administrative support to management team
o Coordinate conference room reservations schedule internal and external meetings, calendar management
o May act as coordinator for special events planning, conference room setup and refreshments
o Maintain administrative procedures related to facility requests, tickets, invoicing, etc
o Order and maintain supplies for site team members
o Participate in special project assignments (Spirit Committee, Site Themes, etc)

Required qualifications to be successful in this role:

o 2 years administrative support experience preferred
o Proficient Outlook skills
o Proficient computer skills in Word, Excel and PowerPoint
o Excellent communication skills
o Strong planning and organization skills
o Professional corporate image combined with strong interpersonal skills
o Resourceful and intuitive self-starter, enjoy multi-tasking in a technical and administrative environment
o Resourceful, with the ability to prioritize, multitask and meet deadlines with minimal supervision
o Confidential, dedicated and punctual
