Position Title : Jr. Claims Processing Assistant
Duty Station : Manila (Global) Administrative Centre (MAC)
Classification : General Service/ G-3
Type of Appointment : Fixed term, one year with possibility of extension
Estimated Start Date : As soon as possible

Under the general supervision of the National Central Accounting Officer and the direct supervision of the CAS-General Accounting Supervisor, the successful candidate will be responsible for Accounts Receivable recording and monitoring and other functions.
Core Functions / Responsibilities:
Travel Claims Processing
• Review and reconcile the suspense project code for air tickets. Check entries erroneously posted and coordinate reclassification entries to the concerned offices.
• Perform project review for MI.0009 and prepare reclassification entry to XX.0009
• Review and timely clear payroll posting related to HQ travel claim settlements in staff vendor accounts.
• Review and clear suspense account for staff travel costs.
• Ensure the accuracy and correctness of entries posted in SAP/Processes and Resources Integrated Systems Management (PRISM) – Finance (FI) from travel module.
• Ensure proper recording of entries on the correct accounts and projects.
• Send TEC payment advice to relevant staff for the monthly claims settled as well as update those with manual Travel Authorization (TA) on the finalized travel expense claim computation approved and settled for the month.
• Send monthly and quarterly email advise in relation to pending Travel Request as per Travel Module.
• Send email advice on travel claims received monthly.
• Monitor and follow up timely submission of travel expense claims and liquidation of advances from HQ/Geneva staff.
• Timely update of Travel Claims monitoring File.
• Maintain secure and organized filing system of travel expense claim files.
Tax Processing Claims
• Assist in preparation of income tax advance claims as requested.
• Assist in sending email advise on submission of tax reimbursement request to entitled staffs.
• Perform other accounting functions as may be required
Required Qualifications and Experience
• University degree in Finance, Accounting or relevant field from an accredited academic institution, with one year of relevant professional experience preferably in the field of accounting or finance, audit experience would be an advantage; or
• Completed High School Degree from an accredited academic institution with three years of relevant professional experience.
• Sound knowledge of accounting systems and/or SAP plus generally accepted accounting principles, internal controls and audit/review procedures;
• Computer literacy including proficiency in MS Office applications
• Good analytical and problem-solving skills; capable of designing, reviewing and revising business processes to achieve efficiency
Fluency in English is required. Working knowledge of French and/or Spanish an advantage.

Annual Leave: 2.5 working days per completed month of service
Sick Leave: 2 working days per completed month of service
Compassionate Leave: 3 days leave in the event of the death of immediate family members (spouse, child, parents and siblings), additional 2 days if the staff member requires to travel
Maternity Leave: 16 consecutive calendar weeks with full pay or 20 weeks for multiple births
Paternity Leave: 8 weeks with full pay or 12 weeks for multiple births
Adoption Leave: 8 weeks with full pay for adoption of single child or 12 weeks for multiple children
Compensation Plan: an insurance coverage for occupational accidents and illnesses (paid by IOM)
Medical Service Plan (MSP): an insurance coverage for non-occupational accidents and illnesses (medical/dental/optical) on contributory basis (monthly premium shared by IOM and staff member)
United Nations Pension Fund (UNJSPF): aims to provide participants at retirement age with pensions as an income replacement. It also provides participants with social security coverage in case of death in service or disability. A compulsory pension scheme maintained by contributions between IOM and the staff member (7.9% of the gross pensionable salary)
Dependent Child Allowance: PhP 20,526 net per annum per child up to maximum of six children (payable in monthly instalments) and subject to terms and qualifying conditions
Other allowances: Overtime, Night Differential, Transportation Allowance (for rendered overtime beyond 10:00pm)
Flexible work hours: which start from 7:30 to 9:30am; 8 hours per day, 40 hours work per week, Monday to Friday
