Job Description


On Boarding

  • Coordinates the schedule of orientation, pre-employment requirements and other welcome activities for new joiners.
  • Handles the enrolment of new employee in the HR system.
  • Prepares document and reports required for statutory registration, payroll account enrolment and insurance coverage.
Records Management

  • Creates employee record (20I file and electronic file) and keep it updated
  • Manages the HR system and suggests forms and procedures for continuous improvement of employee data management.
  • Ensures availability of employee records whenever requested including submission of reports on employee demographics, training, attrition, salary increases, movement, etc.
Company Events & Programs

  • Participates in the planning of company activities such as summer outing/team building, Christmas party, Halloween, sports fest.
  • Performs the needed leg work and coordination to prepare for the activities
  • Identify vendors and request venue, supplies and services.
  • In charge of procurement of giveaways, prizes, tokens, etc. upon approval of HR Manager
  • Coordinate’s transportation, meals, venue, equipment that might be needed in the event
  • Keeps track of attendance of participants/team/facilitator; maintain database of trainings attended by employees
  • Design announcement/invitations, promotional items and materials for dissemination and printing

  • Coordinates with payroll and concerned managers/department upon receipt of resignation, end of contract or termination of employee
  • Provides employee with clearance form and brief him/her of the process (endorsement, schedule of last pay, accountabilities, etc.)
Other Essential Tasks

  • Monitor 3rd and 5th month evaluation of new employees and send out reminders to manager to conduct appraisal
  • Ensures appraisal forms are received for each period and kept in 201 files
  • Notify HR Manager in case of non-regularization of employee for issuance of end of contract notice
  • Keep track of newly regularized employee and prompt the Employee Relations Supervisor for issuance of confirmation letter and updating of benefit entitlement
  • Handles verification of documents submitted by employees (ex. Medical certificates)
  • Update posts in company bulletin board
  • Processing clearance of resigned employees, exit interview and updating the resigned employees of the status of their clearance processing.
