Job Responsibilities:
Administration for the People and Culture team
• Reporting completed weekly, monthly, quarterly and as needed
• Data accurately and timely keyed into Preceda
• Ensuring compliance and completing by monitoring return of documents, policy sign offs ect.
• Generating contracts, ensuring they are returned and processed
• Filing
• Processing Invoices
• VEVO and pre-employment checks – verification of Visa employment if they don’t have an AU or NZ visa
• Ensuring paperwork is accurate and completed eg. recruitment from stores
• Processing and managing store transfers
• Managing Probationary review processes
• Coordinates completion and filing of Performance reviews
• Manage Leave calendar
• Other administrative tasks as required
Information Requests and Management
• Generating reports as scheduled and on an ad hoc basis
• Replying to general inquires over the phone and email
• Statements of service and other employee requests
• Maintaining and communicating contact lists
• Monthly Service Anniversaries
• Obtains other information requests as required.
Coordinating People and Culture Activities
• Booking trainings
• Champion of client culture in the Manila team
• Coordinate events and activities as required eg. Christmas party, conference etc.
• Contributes to team effort by accomplishing results as needed
Coordinate Training and School of Fresh activities
• Processing, training completion, funding and trainees sign up forms
• Process employee set up for online induction
• Scheduling and confirming attendance to training
• Assists on training-related tasks as required
Foundation activities
• Assists to maintain organizational charts
• Update and maintain policies, procedures and handbooks as required
• Assists to maintain the intranet
Required Skills, Knowledge and Attributes
• 2 to 3 years’ experience in Human Resources
• Solid experience in supporting international based client is a MUST
• Excellent verbal and written communication skills
• Ability to multi-task and meet competing deadlines under pressure
• Tactful and discrete disposition
• Good working knowledge of MS Office, and capacity to learn payroll systems
