Enshored is seeking an Employee Data Management Specialist who can provide support to the Human Resources Department in the maintenance of records and in providing a positive onboarding experience to the new hires by acting as a point of contact for any queries or concerns related to their employment.
Duties and Responsibilities
Maintain personnel records (201 files)Update and maintain employee database to ensure data integrity and accuracy of employee recordsProcess employee information update requests in ZendeskAssist employees on matters regarding their personnel records as well as the employee relations team for Employee Verification requestsDiscuss with candidates pre-employment requirements including medical, background check, and ensure complete submission of documents, gathering of documents and coordination with Recruitment TeamGuide new hires to complete pre-employment requirements prior to onboardingCoordinate with healthcare vendor for pre-employment medical check-up scheduling and endorsement log of new hiresAssist the Payrolls Team with new hires payroll account enrollmentCollect and ensure the timely submission of the primary and secondary requirements of all new hiresMonitor the signed non-disclosure agreement, training agreement, and other contracts signed by employeesProcess bank enrollment forms and ensure that their account numbers will be available prior to the employees first payoutConduct background checks and submit background check report to the Recruitment Team and the Human Resources ManagerAssist with the ID Creation of New HiresProvide support to a variety of HR activities across various HR functions such as benefits support and administration, performance management administration, and so on (as needed and with an opportunity to rotate across multiple HR domains)Manage new hires 201 files and maintain confidentiality of personal informationEngage with other departments to facilitate onboarding, including but not limited to coordinating onboarding presentations, preparing onboarding kits and assets
Requirements
With work experience in HR and BPO related fieldGood communication skillsExtensive knowledge in MS office including MS Word, MS Excel and MS OutlookAble to maintain confidentiality and can work independently on assigned tasksExcellent time-management skillsGood interpersonal skillsCandidate must possess at least a Bachelor's/College DegreeTwo (2) or more years of work experience in a fast paced and professional work environment. Preferably with prior experience in sourcing, staffing administration, recruitment documentation, processes and reports.Must have excellent written and verbal communication skills along with outstanding organizational skills, while maintaining flexibility and efficiency in a fast-paced team-oriented environmentWith strong customer relations skills and work in a large team environment with a high sense of urgencyProven organizational skills with solid attention to detail and the ability to prioritize and work well in an environment with competing demandsMust be willing to work in any shift, extended hours and work days if needed as deemed necessary by the business
