Accounts Payable Specialist
Functions & Responsibilities
Processing invoices and payments in compliance with financial policies and procedures.
Performing day-to-day financial transactions, including verifying, classifying, computing, posting, and recording data.
Establish, maintain all vendor files and prepare 1099's. Verify, code, and enter all invoices.
Set up a recurring payment schedule (i.e., rents, leases, car loans, etc.).
Process corrections for billing and general accounts payable actions.
Responsible for the processing of expense reports (verification/calculation, coding, entering). Also, drawing of checks.
Responsible for the preparation for month-end closing (i.e., enters all invoices and void checks).
Credit Card Reconciliation.
Run all accounts payable reports.
Consult with accounts receivable to resolve accounting problems.
Responsible for maintaining accountants - Long-term debt log, asset accounts.
Responsible for maintaining miscellaneous records for US offices (i.e., rental/lease agreements, vendor contracts, and tracking with vendors)
Responsible for handling communications from vendors regarding payment of invoices includes investigations and resolving vendor inquiries, vendor reconciliation, letters of cancellation of accounts/services, letters for special intent (i.e., relocation of employees, return of equipment requesting detailed billing from the vendor, etc.)
Responsibility for managing, maintaining, and reconciling petty cash.
Protect the organization's value by keeping information confidential.
Knowledge & Skills (Minimum Requirements)
Solid understanding of basic bookkeeping and accounts payable principles
Proven ability to calculate, post and manage accounting figures and financial records Data entry skills along with a knack for numbers
Advanced, hands-on experience with spreadsheets and proprietary software (MS Office with an emphasis in Excel, Deltek preferred)
Analytical and problem solving skills.
Customer service orientation and negotiation skills
High degree of accuracy and attention to detail
Very effective organizational skills.
Demonstrate strong judgment & decision-making skills.
Strong time management skills with the ability to multi-task.
Proficiency in English
