Job Description
FINANCE
  • Maintain existing financial systems including petty cash, expenses, claims, and income & expenditure records, process all payments through Cashflow and monthly bank reconciliation.
  • Log and maintain all relevant paperwork in good order
  • Provide full monthly and annual financial report
  • Assist in the preparation of annual account
  • Assist with project financial related work as required
OFFICE MANAGEMENT
  • Overall day to day office management
  • First point of contact of the Company including answering telephone, screen and direct calls, take and relay messages, deal with queries and provide information about the Company from the public
  • Organize, maintain and tidy the office area and equipment
  • Be proactive in finding more efficient ways of working through use of new tools or procedures
  • Ensure knowledge of staff movements in and out of the Company maintaining a system for all staff either manually or electronically
  • General administrative support including preparing letters and documents, receive and sort mail and deliveries, schedule appointments
  • Organize meetings for the staff team and also the Management
  • Help to support occasional off-site assignment of Companys employees or consultants
  • Ensure data is backed up
  • Assist with project related administrative work as required
PAYROLL PREPARATION & MANAGEMENT
  • End to end payroll administration, management and reporting
  • Monthly and end of year reporting
  • Monthly, end of year and ongoing financial reporting and general ledger entries, reporting and other relevant financial system
  • reports and entries as required
  • Meeting all payroll timelines and delivery
  • Perform timesheet calculation and data entry deduction calculations and maintenance, reporting and file maintenance, manual checks, pay increases, wage garnishments, workers compensation payments and direct deposit submission
  • Review time sheets, work charts, wage computation, and other information in order to detect and reconcile payroll discrepancies and ensure accuracy of payroll
PAYROLL REPORTING
  • Maintain reports and payroll transactions to support the integrity of the system and to meet audit requirements
  • Ensure end of year procedures are followed including reconciliation of taxation requirements (e. g: payment summaries)
  • Produce various payroll, leave and HR related reports by conducting research, analysis, gathering information and statistics and generating reports
  • Preparation of various payroll related reports for CEO as required
Requirements:
  • At least 3-4 years of relevant Finance, Payroll and Administrative experience
  • Previous experience of working in an administrative and support role, including experience of setting up and managing administrative systems
  • Ideally from an administration background with the desire to progress and take on an increased responsibility
  • Excellent interpersonal and written communication skills
  • Experience in book-keeping
  • Proven high level of accuracy and attention to detail
  • The ability and desire to improve current systems through newly defined efficiencies and process improvement initiatives
  • Strong computer skills, experience with MS Office programs, including but not limited to: word-processing, email, preparation of tables and proficiency in Excel spreadsheets. Sound understanding and/or experience with databases is essential
  • Preferably CPA
  • Excellent time management skills including the ability to plan, set priorities and to meet deadlines, with flexibility to alter priorities to meet changing demands
  • Strong decision-making, problem solving and analytical skills and mindset
  • Sociable, and enjoy meeting new people and helping others out
  • Can demonstrate attention to detail, initiative and reliability
  • Enjoy organizing, planning and delivering work
